A robust agent system has four layers: the reasoning engine (the LLM), the memory layer (short-term context plus long-term retrieval), the tool layer (APIs, databases, search), and the orchestration layer that manages retries, timeouts, and fallback strategies. Skipping any layer leads to brittle agents that fail in unpredictable ways.

We always add a human-in-the-loop checkpoint for high-stakes actions like sending external communications, modifying financial data, or triggering irreversible operations. The agent proposes the action, a human approves or corrects it, and the agent learns from the feedback. This pattern balances autonomy with accountability.

When AI Agents Make Sense for Your Business

AI agents deliver the most value when three conditions are met: the task is repetitive, involves multiple steps or systems, and has clear success criteria. If your team repeatedly follows the same sequence of actions across spreadsheets, emails, and internal tools, an agent can likely do it faster and with fewer errors.

Conversely, agents are not the right solution for highly creative tasks, situations that require nuanced human judgment, or processes that change fundamentally every time. The sweet spot is structured workflows with occasional variation — exactly the kind of work that is boring for humans but perfectly suited for an intelligent machine.
